Official Guest Policies and Operational Standards
To maintain our standards of hospitality and ensure guest safety, the following policies are enforced. These guidelines align with regional industry standards while highlighting Arshinagar Resort’s unique service structure.
1. Hotel Policy & Registration

Check-In/Check-Out (Night Stay):

Standard Check-In: 12:30 PM.

Standard Check-Out: 11:00 AM.

Late Check-Out & Surcharges: Requests for late check-out are subject to room availability.

Departures between 11:00 AM and 2:00 PM will incur a 50% (Half Day) room charge.

Departures after 2:00 PM will incur a 100% (Full Day) room charge.

Group Daylong Timings:

Check-In: 10:00 AM.

Check-Out: 6:00 PM.

Identity Verification: It is mandatory for all guests to present a valid Government-issued photo ID upon arrival. Bangladeshi nationals must provide an NID, and foreign nationals must provide a valid Passport and Visa.

Age Requirement: The registered guest responsible for the room must be at least 18 years of age.

Guarantee Policy:

Weekdays: A 50% advance payment of the total estimated bill is required to confirm a reservation.

Weekends & Public Holidays: A 100% advance payment of the total estimated bill is mandatory for confirmation.

Reservations without the required advance payment are subject to availability.

2. Cancellation & Amendment Policy

Individual Bookings (1-3 Rooms):
-
Standard Notice: Cancellation notice must be given at least 72 hours prior to the Arrival/Check-in date to avoid cancellation charges.

48-Hour Notice: Cancellation requests made prior to 48 hours of the arrival date will incur a 50% charge on cottage/room rates.

24-Hour Notice: Cancellation requests made prior to 24 hours of the arrival date will incur a 100% charge on cottage/room rates.

Holiday & Peak Period Notice: During specific periods such as consecutive Government holidays, Eid-Ul-Fitr, Eid-Ul-Azha, Christmas, Buddha Purnima, Bengali New Year, Durga Puja, and New Year’s Eve, an individual cancellation notice must be given at least 7 days prior to arrival.

No-Shows: Cancellations made after the required notice period or “No-Shows” will be charged one full night’s Room Tariff for each room booked.

Group Bookings (3+ Rooms):

Standard Notice: Cancellation notice must be provided at least 7 days prior to the scheduled arrival date.

Peak Holiday Notice: For bookings during Eid, Christmas, New Year’s Eve, or consecutive Government holidays, notice must be given at least 10 days prior to arrival.

Penalty for Breach: Failure to provide notice within these windows, or a “No-Show” by the group, will result in a charge of 50% of the total estimated budget.

- No-Show Policy: Failure to arrive or inform the resort by 6:00 PM on the arrival date. The penalties for a No-Show are listed above for individual and group bookings, respectively.
- Force Majeure: In the event of a natural calamity or force majeure, the resort reserves the right to reschedule or cancel bookings. In such cases, guests may be offered a credit note valid for a future stay within 90 days.
3. Food, Beverage & Package Inclusions

Full Board Packages: Our Full Board arrangements include Lunch, Dinner, and Breakfast only.

Exclusions: Beverages (soft drinks, mineral water) and snacks are not included in the package and will be charged based on consumption.

Outside Food: To maintain strict health, safety, and hygiene standards, bringing outside food or beverages into the resort premises is strictly prohibited.

Forest Dine Restaurant: Guests are encouraged to enjoy our on-site restaurant, operating from 08:00 AM to 10:00 PM.
4. Visitor, Media & Drone Policy

Visitor Policy: To ensure the privacy and security of our residential guests, outside visitors are not permitted to enter cottages or bungalows. All meetings with visitors must take place in the Forest Dine Restaurant or Lobby area.

Commercial Photography: Personal photography is permitted, but commercial photoshoots (fashion, product, or music videos) and the use of Drones are strictly prohibited without prior written permission and payment of the applicable shooting floor charge.
5. Support Staff Policy (Drivers & Maids)

Accommodation: There is no provision for personal support staff (drivers or maids) to stay in guest rooms or bungalows.

Dormitory System: We can provide for separate dormitory-style lodging for drivers if notified in advance.

Rate: Support staff lodging is priced at BDT 2,000 per night on a full-board basis (includes Breakfast, Lunch, and Dinner).
6. Guest Conduct & Hygiene

Quiet Hours: To ensure a peaceful environment for all nature-seekers, quiet hours are observed from 10:00 PM to 08:00 AM.

Smoking Policy: All rooms and indoor facilities are non-smoking. A surcharge of BDT 2,000 will be applied at check-out if smoking occurs inside a room to cover specialized deep-cleaning costs.
- Property Damage: Any damage to resort property, fixtures, or furniture caused by a guest or their visitors will be charged to the guest’s final bill at the full replacement cost. The removal of any resort items (linens, towels, or accessories) from the premises is strictly prohibited.

Pet Policy: Pets are strictly not allowed on the resort premises.

Swimming Pool Hygiene: For the health and safety of all guests, taking a shower and wearing proper swimwear are strictly mandatory before entering the swimming pool.

Social Values: Any activity against the law of the country or local social values is strictly prohibited. Management reserves the right to evict guests for disorderly conduct without a refund.
7. Pricing, VAT & Service Charge

Tax Structure: All listed prices are VAT Inclusive.

Service Charge (SC): A 5% Service Charge will be added to the total bill for all services, including room rent and packages.
- Child & Extra Person Policy:
- 0-5 Years: Children stay and receive breakfast free of charge when using existing bedding.
- 5-10 Years: Children are charged 50% (half) of the adult rate for all packages (conditional).
- Above 10 Years: Guests above 10 years are considered adults and will be charged the full extra person or package tariff.
- Note: A 5% Service Charge applies to all extra person and child fees
8. Liability & Safety Disclaimer
- Personal Property: The management is not responsible for the loss or damage of any personal belongings, jewelry, or cash left in rooms or vehicles.
- Activity Risk: Guests use the swimming pool, boating, and fishing facilities at their own risk. The resort will not be held liable for any injuries, accidents, or health issues arising from the use of recreational amenities.
